Communicating with Classroom Parents

As a Room Parent, and because there will not be a school-wide directory this year, it is important for you to reach out to classroom parents, get them involved, and compile a Classroom Contact List for yourself as well as Classroom Parents.

As such, you need to introduce yourself & explain your role as well as gain parent contact information so you can easily facilitate group communications and event organization.

The easiest manner of communication is simply by typing a hard copy letter (example below) and sending it home with each student in the class with the request at the bottom of the letter that the parents reply either by hard copy or email with their information.

Also, it is extremely helpful to compile everyone's contact information in a spreadsheet (downloadable template follows) that can be used by just the Room Parent or distributed to all classroom parents, given their approval.  There's even a tab for Email distribution list compilation.  Download the Excel spreadsheet here: Class List Template

Room Parent Introduction & Classroom Parent Information Request Letter Example:
Note: You can fit two of these messages on one sheet of paper; which makes for fast & efficient distribution as well as minimal supply use.

Request for Contact Information
Dear Parents and Guardians in [TEACHER NAME]’s Home Room, 

My name is  [YOUR NAME (Your child's name mom/dad)] and I will be our class’ Room Parent this school year.  As such, and because there will not be a school-wide directory this year, I would like to compile a Class Contact List that can be distributed amongst our families to facilitate communication.

Please send me an E-mail to: Your Email Address
In the Subject line please type: [Teacher's Name]’s Class Contact Info
In the body of the Email, please type:

  • Child(ren)’s Name(s)

  • Parent/Guardian Name(s)

  • Home Phone

  • Mobile Phone(s)

  • Email Address(es)

  • Indicate any allergies or special dietary needs with regard to class parties/events (know that I will work directly with those parents whose children have allergies to ensure appropriate party food)

  • Indicate whether it is okay to distribute your contact information in a Class Contact List

If you don't have access to Email, please write the requested information from above on this sheet and return it to school with your child in an envelope addressed to me.  I can easily contact you via phone or hard copy about classroom events/needs, no problem.

As soon as I have the Class Contact List compiled, I will send it out to everyone, along with information regarding the plans for this school year!
